Duration: 3-month contract to hire
Compensation: $20.00 – 25.00/hr

Description:

Specification of Core Function

  •  Serve as font desk ambassador and office support for the Miami Office.

 
Tasks and Responsibilities

  • Administer and manage the front desk of our organization site professionalism and proficiently
  • Greet clients, visitors and upon arrival, log the visitor into the relevant log one contact the part
  • Provide visitors and guest with coffee or beverage service while on site
  • Serve as a liaison between the Sales team and clients, coordinate client visits with the Sales team, registering the client with the building and escorting the client to a conference room
  • Handle out-of-town guest/client Accommodates and Negotiations with hotels
  • Coordinate meetings and appointments in the conference rooms board rooms for client visits, vender visits, and general interoffice meetings keeping calendars up to date
  • Conference room calendars and scheduling panels up to date
  • Provide wi-Fi service upon request to visitors using the corporate wi-fi system
  • Provide parking validation for clients as needed Ensure continual operations and appearance of conference room equipment, and interactive art in the lobbies and conference rooms
  • Clean, organize, and rotate conference pre and pest meetings to ensure a consistent environment and experiences for all visitors and guest
  • Answers and routes all incoming calls to the corporate main number to the appropriate parties with professional décor
  • Maintain manual back staff contact lists and procedures in the event the attendant console is down and manual call routing is needed.
  • Monitor the general corporate fox number and e-delivery queue on an ongoing basis and route incoming faxes to the appropriate party
  • Maintain the client kitchen including consumables stock, genera. organization and cleanliness
  • Coordinate food deliveries, setup, and catering of corporate meetings and events
  • Guest Log, Parking Log for parking garage
  • Issue guest parking pass relevant to their time of stay on the premises.
  • Prepare, revied and reconcile log with parking pass inventory.
  • Coordinate pass replenishment: with the General Services Manager
  • Assist in and manage incoming recuse: to the department work queue and systems including but not limited to visitor request, fooe deliveries, vendor access request, weekend access, after-hours HVAC, Cleaning requests, facilities issues, mail/currier requests or office supply requests
  • Inventory Management – Assist in the maintenance of corporate stock reems and print rooms, to ensure accurate stock room inventories, stock room supply levels and facilitate the re-ordering of supplies
  • Office Supplies – order and maintain supply stock for daily operations
  • Run inventory once a week to keep inventory are resupply requests lists up to date
  • Communicate with the general services manager to ensure regular procurement of basic supplies
  • Coordinate with the general services manager any special request documenting approvals and proper cost centers
  • Management of request in the building portal including but not limited to visitor request. food deliveries, vendor access request, weekend access, after-hours HVAC, cleaning requests, facilities issues
  • Management of internal systems, applications or digital workloads for the department including but not limited to mail assist and deportment email or ticket queue.
  • Maintain department Standard Operating Procedures and workflows up to date incorporating changes as they are made to the process of workflow
  • Provide coverage of department functions, positions, or duties to cover PTO or overflow from other department members as needed
  • Other duties as assigned

Requirements

  • High school degree. Bachelor's degree preferred
  • Three to five years of previous work-related experience
  • Excellent communication skills
  • Outstanding professional demeanor and client-oriented skills English and Spanish required
