What You'll Do
• Lead six cross-functional event workstreams for WebexOne 2025; responsible for all strategy, planning and execution of the workstreams, keeping them organized, facilitating collaboration, and assisting with unblocking throughout projects:
o Registration (includes Onsite reg desk)
o Housing
o Staffing
o Travel
o Internal VIP logistics
o Attendee Support
Registration workstream
Leadership and management of the following:
• Registration Build Management: Build registration to align with Audience Acquisition specifications, testing and quality control of registration site prior to, during and after launch
• Manage the registration strategy with multiple different registration pages different ticket types, registration paths.
• Attendee Communications: Partner with Audience Acquisition to inform Attendee Communications plan, initial content for registration communications and timeline.
• Oversee the attendee registration experience from launch to event execution
• Promo/Discount code creation and management; in conjunction with sales-driven strategy
• Assist w/ reporting on ticket payments, refunds, and discounts, as needed
• Work with the Web Team to assist with web specification implementation and quality control of registration site prior to launch
• Manage and oversee Badge and Lanyard Creation: Lead on badge and lanyard design with creative and order placement for applicable supplies for in-person event
• Provide reporting and updates to various stakeholders before, during, and post-event
• Manage and configure the on-site check-in and badge printing tool
• Work in conjunction with Virtual Event and Mobile App Lead
• Act as on-site attendee and registration support during WebexOne 2025
• Assist Operations Lead w/ Reg desk staffing & related Brand Ambassador support
Housing workstream
• Partner with Event Lead to define subblock allocations across the event, inclusive of billing & booking requirements.
• Partner with hotel to set up Passkey links to allow attendees to secure rooms within the contracted subblocks.
• Implement and maintain process for internal rooming list management.
• Main point of contact for housing with contracted hotel; manage changes, cancellations and billing arrangements for rooming list subblocks
• Manage and balance subblock inventory as needed
• Reconcile master account and perform audits upon completion of event.
• Reporting: monitor pick up and provide weekly reports to include pick up by night, pick up by sub block, estimated attrition (if applicable), concession management and assignments
Staffing workstream
• Partner with various workstreams to create ticket allocations across the event based on workstream needs and housing availability.
• Work with PMO office to create process to track travel approvals across all staffers at the event.
• Ensure workstreams create holistic onsite staffing plans and schedules.
• Create, implement and manage internal registration process, workflow and communications. – partner with attendee support logistics partner to create the visa invitation letter process
Travel workstream
• Partner with workstream leads to implement travel, housing and registration process and workflow for hosted attendees including and not limited to, external speakers and executive customers
• Partner with attendee support logistics staff/vendor to create the visa invitation letter process
Internal VIP workstream
• Internal VIP's are a select group of Cisco executives that hold substantial roles at WebexOne (speakers, meeting hosts, etc.). This workstream lead is responsible for managing the housing, registration and travel logistics for Internal VIP's, working in conjunction with their offices.
• Create a Webex space with the Executive Assistants, Chiefs of Staff and Executive Communications Managers for all Internal VIP's on the WebexOne invite list. Utilize this space as the key channel for communicating WebexOne information such as how to register, book housing, key travel dates, speaker rehearsal information, and field all questions or inquiries from Cisco executive's offices
• Create a "Week At A Glance” schedule for each Internal VIP, and provide to their EA
• Ensure calendar invites for all Cisco Executive rehearsals and speaking engagements are provided to the executive by the appropriate workstream lead (keynote lead, breakout lead, WEE lead, Partner Exchange Lead, Meetings lead, etc.)
• Answer questions to the best of your ability and strive to give our Internal VIP's a white glove customer service experience
Attendee Support workstream
• Assist our support logistics partner/vendor as needed. May include responding via email to an attendees who may have questions regarding registration, promo code usage, access issues
• Act as Webex liaison for programmatic information the logistic partner may need to properly support our registrants and attendees
• Act as attendee support post-event once the logistics partner terms have ended
• Process any post-registration payments
• Partner with logistics partner to create the visa invitation letter process
Overall:
• Overall day-to-day project management of workstreams, creating the workback plan overseeing timelines, budget execution, reporting, project change notices, keeping workstream contributors organized, disseminating communication, facilitating collaboration, and assisting with unblocking throughout the project
• Coordinates and leads weekly workstream status update calls with workstream contributors
• Responsible for creating slides in WebexOne master walking deck to communicate plans for all workstreams
• Monitors event deadlines to ensure they are met across all stakeholders
Requirements:
· Bachelors degree
· 5 years' experience overseeing registration, housing, staffing, travel and VIP logistics for events 2,000+ attendees.
· Very logistically strong, with exceptional organizational and project management skills, including overseeing complex workstreams across multiple functions composed of both technical and non-technical members
· Pays attention to detail and can multi-task (spreadsheets and checklists are your best friend)
· Excellent time management with the ability to ensure stakeholders meet deadlines
· Effective communicator with superb written and verbal skills, who can communicate clearly and professionally with customers, team members and other stakeholders
· Ability to maintain the highest level of professionalism and integrity when interacting with C-level executives, suppliers, attendees, speakers and talent
· Uses communication to build relationships with others and foster teamwork
· Strong people skills. No one is a stranger, and you understand how to connect with everyone, treating all with respect
· An independent problem solver who is solution oriented and takes initiative without being prompted
· This person thrives in a fast-paced environment and can demonstrate grace-under pressure
· Demonstrates strong leadership and interpersonal skills to motivate the team and encourage them to work together to achieve a common goal
· A "Do What It Takes” Team player who leads by example demonstrating how to work productively and with a positive attitude
· Can handle a high volume of demand leading up to and during the event
· Basic understanding of technical subjects and emerging technologies and relevance to the marketplace
· Capable of producing executive level PowerPoint slides for meetings
· Comfortable building and maintaining a registration page for a hybrid event with 20k+ total registrations
· Experience working with end-to-end event management platforms is a must. Bonus if you have experience with Cvent.
· Strong understanding of post-event metrics and their importance to the overall event success
· Familiarity with Microsoft Excel, Sharepoint, and Project Management tools
· Comfortable using Webex collaboration software as main communication tool
· Ability and willingness to travel 7-14 days for pre-event site visits and to support the event in-person in September 2025. Note: travel to San Diego, CA during WebexOne dates of Sept 26 – Oct 2 (includes set-up and tear-down) are mandatory.
