Title: Executive Assistant to CEO
Location: Elgin, IL (Onsite – 5 days/week)
Duration: Full-Time

Overview
We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO in a fast-paced, growth-focused environment.
This role is critical to ensuring the CEO operates efficiently by managing schedules, coordinating priorities, and handling day-to-day administrative responsibilities. The ideal candidate is a self-starter, thrives in ambiguity, and anticipates needs before they arise.

Key Responsibilities
Executive Support

  • Manage and optimize the CEO's calendar, including scheduling meetings, travel, and appointments
  • Coordinate internal and external meetings, ensuring all materials and logistics are prepared in advance
  • Act as a gatekeeper for the CEO's time, prioritizing requests and managing competing demands
  • Prepare agendas, presentations, and follow-up items for meetings

Communication & Coordination

  • Serve as a liaison between the CEO and internal teams, clients, and external partners
  • Draft and manage professional communications on behalf of the CEO
  • Ensure timely follow-ups and clear communication across all stakeholders
  • Maintain confidentiality when handling sensitive business information

Travel & Logistics

  • Coordinate complex travel arrangements (flights, hotels, transportation, itineraries)
  • Ensure seamless execution of travel plans and proactively resolve issues as they arise
  • Manage expense reporting and reimbursement processes

Operational Support

  • Assist with day-to-day business operations and administrative tasks
  • Help track priorities, deadlines, and ongoing initiatives
  • Support ad hoc projects and special initiatives as needed
  • Identify opportunities to improve processes and increase efficiency

Required Qualifications

  • 3–7+ years of experience supporting senior executives (CEO, President, or similar)
  • Strong organizational and time management skills
  • Excellent written and verbal communication skills
  • High level of professionalism and discretion
  • Ability to manage multiple priorities in a fast-paced environment
  • Proficiency in Microsoft Office (Outlook, Excel, PowerPoint)

Preferred Qualifications

  • Experience in a high-growth or entrepreneurial environment
  • Prior experience supporting a CEO or founder
  • Ability to anticipate needs and operate with minimal direction
  • Strong problem-solving skills and attention to detail
