Title: Billing Coordinator (Marketing Department)
Location: Doral, FL    must work onsite 5 days a week
Duration: 6- 12 months plus extensions (possible FTE)
Compensation: 30 – 35hr.

Summary:
This role will support the Marketing department by managing billing processes and organizing evidence for audits. The position plays a key role in ensuring the financial integrity of marketing operations, maintaining compliance, and supporting the efficient use of marketing resources.

Day to Day:

  • Billing Review and Audit: Conduct thorough reviews of billing processes related to marketing campaigns, ensuring accuracy and compliance with company policies. Audit billing records and documentation to identify discrepancies or errors in marketing-related expenses.
  • Evidence Management: Collect, verify, and organize evidence related to marketing transactions, such as invoices, contracts, and receipts. Ensure all evidence is properly documented and stored for audit purposes and compliance checks.
  • Vendor Reconciliation: Reconcile vendor invoices with internal records to ensure alignment, focusing on marketing agencies, freelancers, and service providers. Resolve discrepancies with vendors promptly and maintain strong relationships to support ongoing marketing initiatives.
  • Compliance and Reporting: Ensure billing practices comply with regulatory requirements, internal controls, and marketing budget allocations. Prepare detailed reports on billing audits and reconciliation activities for the marketing leadership team.
  • Process Improvement: Identify inefficiencies in billing and evidence processes within the marketing department and recommend improvements. Implement best practices to enhance accuracy and efficiency in managing marketing-related expenses.
  • Team Collaboration: Work closely with marketing teams to understand campaign requirements and ensure accurate billing processes. Provide guidance and support to marketing staff on billing-related queries and compliance matters.

Required Skills:

  • 1–2 years of experience in billing, auditing, or financial reconciliation (preferably in a marketing or advertising environment)
  • Bachelor's degree in finance, accounting, marketing, or a related field
  • Strong analytical skills with high attention to detail and accuracy
  • Must be Proficiency in financial software and Microsoft Excel
  • Excellent communication and interpersonal skills for working with vendors and internal teams
  • Ability to manage multiple tasks and deadlines in a fast-paced environment
  • Must have advanced Microsoft Excel knowledge
  • Must have AA degree minimum
