ABOUT THIS FEATURED OPPORTUNITY 
We are seeking a detail-oriented and approachable Executive Assistant to admin to support 2 of our clients Sr Directors. In this role, you will provide essential administrative support to the team and its leaders, ensuring smooth daily operations, effective calendar management, and seamless coordination of events and activities. This position is based in Santa Clara Valley, and you'll be an integral part of a dynamic, collaborative environment. The ideal candidate is someone who takes pride in being an executive admin, thrives in a support role, and brings maturity, professionalism, and a proactive approach to managing priorities.
 
 
THE OPPORTUNITY FOR YOU  
The Sr Administrative Assistant will be responsible for managing complex calendars (iCal), ensuring efficient scheduling, making judgment calls on priorities, and proactively addressing conflicts. They will oversee meeting management by coordinating agendas, prioritizing attendance, and escalating high-priority discussions as needed. Additionally, they will provide executive support by handling logistics, follow-ups, and communication to streamline workflows. This role requires assertive prioritization, proactively flagging overloaded schedules and pushing back when necessary to ensure executives stay focused on key tasks. When bandwidth allows, the assistant will take on basic project management tasks. A strong customer service mindset is essential, ensuring smooth operations and satisfaction for all stakeholders. You will arrange travel itineraries, including flights, accommodations, and ground transportation, for leaders and other team members. You will coordinate travel logistics and ensure all arrangements are made in accordance with preferences and budget. You will provide general administrative support to leaders, including answering phone calls, responding to emails, and handling inquiries with professionalism and discretion. The ideal candidate will have strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
 
 
 
KEY SUCCESS FACTORS

  • 5+ years of experience supporting executives (preferably EVPs or senior leadership).
    • Judgment & Initiative: Able to make smart decisions on priorities, escalations, and scheduling conflicts independently.
    • Detail-Oriented & Reliable: Excellent follow-through and ability to keep projects and tasks on track.
    • Managing calendars, expenses, travel arrangements, and supporting events/event planning.
