Location: Chicago, IL (Hybrid – 3 days onsite; Wednesday required)
Schedule: Monday–Friday, 9:00am–5:00pm
Employment Type: Full time, Direct Hire

About the Role
A well established intellectual property law firm is seeking a Secretarial Manager to oversee a team of 13 highly tenured legal secretaries.

Key Responsibilities

  • Manage a team of 13 legal secretaries, providing guidance, performance support, and workflow oversight.
  • Partner closely with executive leadership to maintain operational excellence.
  • Ensure consistency, accountability, and adherence to firm standards.
  • Support secretarial staff with day to day needs and coaching, including addressing resistance to change when necessary.
  • Assist in developing and improving office processes.

Required Qualifications

  • 5+ years of relevant experience, including management of legal secretaries or legal assistants.
  • Intellectual Property (IP) and USPTO experience required (1–2 years acceptable).
  • Strong MS Office skills.
  • Experience with IP management or billing tools (helpful but not required).
  • Degree preferred but not required with significant experience.
