Office Coordinator
Summary:
We're looking for a professional and friendly Office Coordinator to join our corporate team. As the first point of contact for visitors and callers, you'll ensure a positive and welcoming experience while supporting the team with front desk operations, travel bookings, expense coordination, and general office administration. This is a long-term assignment with growth potential into broader corporate support roles.
Responsibilities:
- Greet and assist visitors, customers, and job applicants at the front desk
- Answer and route incoming calls on the main phone line
- Maintain a professional and welcoming reception area
- Coordinate travel for employees and visitors (flights, hotels, transportation)
- Assist with expense reports and reconciliations
- Order and manage office, cafeteria, and shipping supplies
- Support new hires with office setup and materials
- Help organize employee events and coordinate catering
- Receive, sort, and distribute mail and packages; arrange shipments
- Provide general administrative support across departments
- Serve as point of contact for building maintenance and vendors
Must-Have Skills & Qualifications:
- Associate's Degree (AA) required
- Prior customer service experience (phone support, front desk, hospitality, or similar)
- Strong oral and written communication skills
- Excellent interpersonal skills with a positive, professional demeanor
- Ability to multitask, stay organized, and prioritize effectively
- Strong attention to detail
- Proficiency in Microsoft Word, Excel, and expense/travel systems
- Bilingual (English/Spanish) preferred
