Title: Program Manager V
We are looking for a Program Manager V to lead the day-to-day execution and operational coordination of large-scale, multi-site community investment and grants programs. This role is responsible for keeping recurring programs on schedule, coordinating vendors and stakeholders, maintaining accurate budget and compliance documentation, and ensuring leadership has reliable program data and reporting. The ideal candidate is highly organized, experienced in managing complex programs across multiple locations, and comfortable working with cross-functional teams and senior leadership.
Key Responsibilities Include:
- Manage recurring program cycles across multiple locations, ensuring milestones, deadlines, and communication timelines remain on track.
- Track submissions and program activities through multi-stage workflows and communicate status changes, risks, and upcoming deadlines.
- Coordinate with external vendors on application status, payments, program readiness, and operational deliverables.
- Maintain budget and spend trackers, reconcile expenses against approved allocations, and follow up on missing documentation.
- Prepare purchase requisitions, contract documentation, and compliance materials for review and approval.
- Develop and maintain leadership memos, meeting agendas, program trackers, and reporting materials.
- Compile and organize program data related to participation, spend, outcomes, and overall program performance.
- Coordinate event and ceremony logistics with local vendors, internal stakeholders, and communications teams.
- Maintain accurate program and stakeholder information within CRM and program-tracking platforms.
- Prepare and distribute training, scoring, and review materials and consolidate responses for consistency checks.
Required Qualifications:
- 10+ years of relevant program, project, or operational management experience.
- Demonstrated experience coordinating large-scale or multi-site programs with recurring timelines and multiple stakeholders.
- Experience with budget tracking, procurement administration, purchase requisitions, and compliance documentation.
- Strong written communication and documentation skills, including experience preparing leadership-level materials.
- Proven ability to manage high volumes of information, competing priorities, and deadlines while maintaining strong organizational discipline.
- Experience collaborating across functions such as Finance, Legal, Communications, vendors, and regional teams.
- Bachelor’s degree.
- Project Management or Event Management certification.
- Ability to travel domestically as needed.
Preferred Qualifications:
- Experience with grants administration, community investment, corporate philanthropy, or similar programs.
- Experience using AI tools for program data, reporting, or analysis.
- Experience with CRM or program-tracking platforms such as Salesforce or similar systems.
- Experience operating within a large, complex corporate environment.
- Strong stakeholder management skills and experience communicating with senior leadership.
