Position Overview
We are seeking a highly organized and detail-oriented Graduate Academic Support Coordinator to provide administrative and operational support for graduate academic programs. This role will serve as a key point of contact for students, faculty, and staff while ensuring the efficient coordination of academic processes, graduate assistant employment activities, and student services.
The ideal candidate has excellent organizational and communication skills, thrives in a fast-paced academic environment, and can effectively manage multiple priorities while delivering outstanding customer service.
Key Responsibilities
- Coordinate graduate assistantship contracts, including initiating, tracking, and monitoring electronic signature workflows using Adobe Sign.
- Support I-9 verification and onboarding activities by guiding graduate assistants through employment eligibility requirements and ensuring timely completion of onboarding documentation.
- Draft and distribute communications to students, faculty, and departments while managing shared inboxes and maintaining communication templates.
- Maintain accurate student records, databases, spreadsheets, and tracking logs related to petitions, committees, assistantships, and other academic activities.
- Prepare academic forms, letters, checklists, informational materials, and assist with thesis/dissertation formatting and accessibility requirements.
- Organize digital files, maintain shared drives, ensure document version control, and recommend workflow improvements.
- Coordinate scheduling for meetings, committee reviews, student appointments, and academic format checks.
- Compile reports and prepare summary data for staff and leadership review.
- Provide front-line support to graduate students by answering questions regarding forms, deadlines, and academic procedures, escalating complex issues when necessary.
- Assist with graduate student recruitment by responding to prospective student inquiries, preparing recruitment materials, and supporting virtual and in-person recruitment events.
- Review graduate applications for completeness, update applicant records, and coordinate communications regarding missing documentation.
- Support orientations, workshops, commencement activities, and other departmental events.
- Provide general administrative support, including phone coverage and routine office responsibilities.
Required Qualifications
- Bachelor's degree preferred; equivalent combination of education and administrative experience will be considered.
- Experience providing administrative support in a higher education, academic, or professional office environment.
- Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
- Excellent verbal and written communication skills with a customer-focused approach.
- Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
- Experience maintaining databases, spreadsheets, and electronic records with a high degree of accuracy.
- Ability to handle confidential information with professionalism and discretion.
- Experience with Adobe Sign or similar electronic document management tools is preferred.
Preferred Qualifications
- Experience supporting graduate programs or academic affairs.
- Familiarity with student information systems and higher education administrative processes.
- Knowledge of onboarding documentation and employment eligibility (I-9) processes.
- Experience coordinating events, workshops, or student recruitment activities.
