How to Write Thank You Emails After Interviews

Why Thank You Emails Are Important

As a job candidate, it’s important to maintain a good impression when you meet a potential employer. For job candidates lucky enough to land an interview, sending a thank you email after virtual (phone, Zoom, etc.) or in person interviews is vital to maintaining a positive impression during the hiring process. It’s also an excellent way to ensure you remain in the good graces of the hiring manager and recruiter as a future candidate if you don’t land the first job you interviewed for with the organization.

Taking the time to send a thank you email is a gesture that reinforces your professional etiquette as well as your interest in the job and organization. Since many initial interviews are done virtually today, you’ll likely find that you need to send a thank you email after a Zoom interview or some other type of virtual interview platform. No matter what type of interview you participated in, the basics of a thank you email are very similar.

Below are our tips and templates for thank you emails to send after various interview types, including virtual, phone, and in-person interviews. These templates will help you get started next time you need to send one after an interview.

Thank You Email Structure

No matter what type of interview you took part in, the basic structure of the thank you email should be very similar. Here are the basic parts of the email:

  • Subject line
  • Personalized greeting
  • Note of appreciation
  • Brief recap of qualifications
  • Prompt for the next step
  • Closing signature
  • Contact information

Subject Lines for After Interview Thank You Emails

Emails provide immediate correspondence for the often fast-paced hiring process, whereas standard mail through the postal service does not. That’s why email thank you notes have taken the place of the traditional mailed thank you – though you might make a big impression if you send a handwritten note!

We’ll focus on emails for now and save letters for another day. For a thank you email, make sure to choose a subject line that clearly indicates the purpose of the email so your recipient will see it. Examples of appropriate subject lines for a thank you email after virtual interviews include:

  • Thank you for meeting with me
  • Thank you for the interview
  • Great to meet you
  • Nice to meet you
  • Thanks for meeting with me

Writing a clear and concise subject line will help make sure your email is seen and that your recipient will know what it’s about. Your goal is to continue to be top of mind as a candidate, so use this opportunity to remind the hiring manager or interviewers about why you are a great pick.

Detailed Second Interview Thank You Email

If you have just had your second (or third, etc.) interview, then you are further along in the process and it is probably appropriate to send a longer email detailing more about your qualifications. You still want to stay focused and express your appreciation, but you can spend a little more time reminding the interviewer about your skills. If you made a connection over a topic, then you could briefly mention that as well since a personal touch can help you stay top of mind.
