Summary:
The Administrative Support Specialist provides comprehensive administrative, and staff support services to an organizational unit. This role involves executing various administrative and clerical tasks to ensure smooth operations within the unit. The ideal candidate will excel in multitasking, possess excellent organizational skills, and have a keen attention to detail.
 
Key Responsibilities:

  • Perform a wide range of administrative and clerical duties, including but not limited to word processing, file organization (both electronic and paper), scheduling meetings, maintaining calendars, processing incoming mail, and answering phones
  • Assist in budget preparation and control activities as needed
  • Aid in the preparation and maintenance of records, statistics, and reports pertaining to operations and personnel changes
  • Administer various programs, projects, and processes specific to the unit served
  • Serve as the administrative liaison with internal and external stakeholders on matters related to purchasing, personnel, facilities, and operations
  • Provide training and assistance to other employees as necessary
  • Undertake other duties as assigned by management

Qualifications:

  • Proven experience in administrative support roles or similar positions
  • Proficiency in office software applications, including word processing, spreadsheet, and presentation software
  • Strong organizational and multitasking abilities, with a keen attention to detail
  • Excellent verbal and written communication skills
  • Ability to work effectively both independently and as part of a team
  • Experience in budgeting and record-keeping preferred
  • Familiarity with project management tools and techniques is a plus
  • Bachelor's degree in business administration, office management, or a related field is desirable but not required

Physical Requirements:

  • Ability to sit for extended periods and perform computer-based tasks
  • Occasional lifting and carrying of files or materials may be required
